Event Information
Michael Allen Harrison on Piano
On New Year’s Eve 2008, Northwest recording artist Michael Allen Harrison will lead the way to an evening filled with the sights, sounds and tastes of chocolate! Moonstruck at Midnight - Expressions of Chocolate Vol. II a benefit for childhood cancer, will feature music from Michael’s magnificent CD, “Expressions of Chocolate, Volume II”, accompanied by creative dance performances by Portland’s Polaris Dance Theater. Under the artistic direction of Robert Guitron, the Polaris Dance company will interpret the richness of the music created by Michael Allen Harrison and inspired by the artistry of Moonstruck Master Chocolatier, Julian Rose. Each member of the audience will sample exquisite handmade Moonstruck chocolates as they take in the beauty of the show. Moonstruck at Midnight will embrace the sweetness of life and the pleasures of a much celebrated confection.
With the assistance of corporate sponsors and dozens of volunteers, 100% of the net proceeds from Moonstruck at Midnight will go directly to two local organizations involved in the treatment of childhood cancer.

How You Can Help
Sponsor Recruitment
Solicit event sponsorships by working with the sponsor recruitment team and benefiting charities to identify, target, and meet with potential sponsors. Use your personal and professional contacts to identify potential candidates for solicitation.
Help organize and distribute sponsorship materials as needed.
Time commitment: Monthly meetings and your choice of prospective sponsor contacting time.
Event Promotion/Marketing
Work with event planner in identifying various strategies for promoting, advertising and marketing the event using diverse methods including print advertising, newsletters, postcards, website, radio/TV, and flyer distribution.
Identify and assist with coordinating promotional opportunities.
Time commitment: Monthly meetings and your choice of time spent promoting event.
Event Night Volunteer
Evening Volunteer Coordinator
Work with event planner to help identify volunteer needs for the concert.
Oversee all volunteers the evening of the event.
Chocolate Distribution (10 volunteers, needed from 7:30-9:00 PM)
Match up 1:1 with Ushers at auditorium doors and ensure every ticket holder receives ONE box of chocolate.
Chocolate runners will maintain the supply of chocolates necessary for the event. This includes checking the status of chocolates at each auditorium door throughout the pre-show period and replenishing supplies as necessary.
Patron Party
Assist in planning the details of the sponsor Patron Party including menu selection, décor, and invitations.
Check-in sponsors at the Heathman mezzanine stairs to welcome guests and provide name tags.
Escort sponsors and guests from the Heathman to the concert through the PCPA door to the Schnitzer.
Thank guests for attending and tell them to enjoy the show!
Time commitment: Planning meetings. Patron Party 7 – 8:30 PM
Finance and Budget
Committee Chair: Linda Moreland-Hooker
Work with event planner and chair on obtaining cost estimates.
Maintain budget throughout pre-and post-event, provide reports.
Reconcile event at conclusion, provide report.
Time commitment: Periodic budget meetings.
Special Appeal
Work with the benefiting charities to determine the best strategy for executing a special appeal/paddle raiser during the concert. Identify and determine volunteer needs and details of obtaining donor information and processing donations.
Time commitment: Monthly planning meetings. Special appeal during concert, Dec. 31, 2008.
Raffle
Identify potential raffle item(s) and help to solicit the appropriate donation(s).
Identify timing of when to announce winner during the event.
Work with event planner to determine how best to orchestrate raffle sales prior to and during the event.
Determine any volunteer needs.
Time commitment: Periodic planning meetings. Raffle sales during concert, Dec. 31, 2008.
Print Materials
Work with event planner to identify various print material needs.
Help to write, edit, and proof read text.
Work with benefiting charities to secure a printing sponsor.
Time commitment: Initial planning meetings and as needed to proof materials and pick up and delivery of final print.
Friends and Family Recruiting
Help recruit friends, family and other contacts to join in this New Year’s Eve celebration!
Make calls to encourage ticket sales.
Identify additional methods to help recruit attendees including home parties, letters, email, etc.
Time commitment: Your choice of time spent calling friends and family and/or mailing print materials to potential guest.
